1. Who we are

Round Fit Ltd (“Round Fit”, “we”), London, United Kingdom, is the controller of the personal data described here. For data protection questions, contact us through the contact form on this website. We process personal data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. Project enquiries and configurators

When you send a project enquiry or a configurator specification we collect your name, company, email, phone (optional), country or city, business type, number of locations, timeline, preferred quote currency, the equipment and options you choose and your message. We use them to reply and to prepare a proposal. Legal basis: steps at your request before entering into a contract and our legitimate interest in answering business enquiries. Retention: 24 months after our last contact, unless a contract follows.

3. Careers applications and CVs

When you apply through our Careers page we collect your name, email, phone (optional), area of interest, location, portfolio or LinkedIn link (optional), your message and your CV. We use them only to consider you for current and future roles. Legal basis: steps at your request and our legitimate interest in recruiting. CVs are stored in a private area of our server that cannot be reached by a web address. Retention: 12 months, unless you agree that we keep them longer; then they are deleted automatically.

4. Client portal

Clients with an active project receive a portal account created by us. We store your name, email, login details, your orders, their status, item lists, files and the messages you and we exchange, with dates and times. Legal basis: performance of our contract with you. Retention: for the duration of the project and then as long as tax and commercial law requires.

5. New product notifications

If you subscribe to notifications about new product releases we store your email address, the site language, the time and wording of your consent and, after you click the link in our confirmation email, the time of confirmation. We use them only to email you when we release new products. Legal basis: your consent, which you can withdraw at any time with the unsubscribe link in every email. Unconfirmed sign-ups are deleted after 30 days; after you unsubscribe we keep only a record that you did, so that we do not email you again.

6. Who processes data for us

  • Hetzner Online GmbH, Germany — hosting of the website, database and files
  • Cloudflare, Inc. — content delivery and protection against attacks; it may process data in the United States
  • Resend — delivery of the emails sent by our forms, the newsletter and the portal

Our engineering team and workshop are in Ukraine. Where personal data leaves the UK we rely on safeguards recognised under UK GDPR, such as the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

7. Your rights

You can ask for access to your data, correction, erasure, restriction, data portability, and you can object to processing based on legitimate interests. 8. Cookies

We use only cookies that are strictly necessary: pll_language remembers your language (1 year); WordPress login cookies keep portal users signed in (session, or 14 days with “Remember me”); Cloudflare may set a short-lived security cookie. We do not use analytics or advertising cookies. See the Cookie Policy.

9. Changes

We will update this page when our processing changes.
